Create Receipts from a Record

The New Receipt button creates a receipt from a single record: an Opportunity, a Payment or a Recurring Donation. Use it for one-off receipts, or to reissue a receipt. This article explains what the action does on each kind of record. It is written for the staff who run receipting and for Salesforce administrators.

All three actions need the Receipt User or Receipt Admin permission set. Without it, they show "You don't have permission to perform this action." To create a giving summary for one donor, use the New Giving Summary button on the Contact or Account instead (see Giving Summaries).

On an Opportunity

The New Receipt button on an opportunity works when Enable Receipt by Payment is off. When it's on, the action says "Cannot create a receipt for this opportunity because receipts can only be created for payments." Use the New Receipt button on the payment instead.

is "Receipted"	"Receipt … already exists for this opportunity." Click Void and Re-Issue Receipt to void the old receipt and issue a replacement.
is "Receipted" only because of an External Receipt #	"External receipt #… already exists for this opportunity." Click Re-Issue Receipt to issue a replacement that refers to the external number.
has any other status, such as "Eligible for Consolidated" or "Ineligible - …"	"Cannot create a receipt because the receipt status is …". Consolidated gifts belong on a consolidated receipt.

Opportunities that belong to a recurring donation can't be voided and re-issued from the opportunity; use the New Receipt button on the recurring donation.

The screen then says "A receipt was created. It's available in the Receipt Installment." To close the window without creating anything, click the X.

On a Payment

The New Receipt button on a payment works when Enable Receipt by Payment is on. When it's off, the action says "Cannot create a receipt for this payment because receipts can only be created for opportunities."

Otherwise it works like the opportunity action: an "Eligible" payment, or one whose receipt was voided, gets the Create Receipt button; a "Receipted" payment offers the Void and Re-Issue Receipt button (or the Re-Issue Receipt button for an External Receipt #); any other status is refused with the status.

On a Recurring Donation

The New Receipt button on a recurring donation that is "Eligible", "Receipted" or "Voided" offers two actions:

• Create Receipt: select a year. The recurring donation's eligible gifts from that year (opportunities, or payments when receipting by payment) get one consolidated receipt.
• Replace Receipt: select one of the recurring donation's existing receipts to void and replace it.

When Enable Single Receipts for RDs is on and the donor isn't set to "Consolidated", recurring donations aren't receipted directly. The action says so: create a receipt from a related opportunity or payment instead.

Messages

• "A receipt cannot be created because there aren't any eligible opportunities." (or payments). None of the gifts can be receipted yet, for example because none are paid. See Receipt Eligibility.
• "Cannot create a receipt because the receipt status is …". The recurring donation is "Ineligible", for example because Do Not Receipt is ticked.

After the Receipt Is Created

The new receipt is emailed or printed like any other. Use the Email Receipt button on the receipt, or Batch Receipts for several at once. See Actions on a Receipt and Batch Receipts.

Troubleshooting

Symptom	Check
"Cannot create a receipt because the receipt status is …"	The record isn't eligible. The status says why; see Receipt Eligibility.
"… receipts can only be created for payments." (or opportunities)	The Enable Receipt by Payment setting decides which record gets the receipt. Use the New Receipt button on the other record.
A recurring donation can't be receipted directly	Enable Single Receipts for RDs is on and the donor isn't consolidated. Receipt each opportunity or payment instead.
"You don't have permission to perform this action."	Assign the Receipt User or Receipt Admin permission set. See Permissions.
